SELECTING A VENUE
Once we have reached our sponsorship goal it is time to secure a venue in the desired area. The first place to look will be in the Preferred Venue Spreadsheet in our group folder. This is where we keep track of our favorite locations for pop-up events and public workshops.
IF YOU FIND A GOOD LOCATION
If you find a good location, go ahead and send them the following email template to get the planning process started.
My name is (____) and I am an SSC-Safe Coordinator with Sativa Science Club. I believe my colleague reached out to you all previously for an introduction. Just in case, I’ve provided our media kit for your review below.
If you have any availability in (____) for a budtender training event, we would love to learn more about your rates.

IF THEY WRITE BACK
Before you agree to a venue be sure to hop on the phone and do a little bit of research. Make certain that you address 100% of the following information and recoard the answers on your Venue spreadsheet:
- Date & time
- Cost of rental
- Point of contact
- Parking situation
- Parking vouchers/ validation
- Is setup included
- Can we have outside catering
- Catering menu if not
- Can we give away cannabis inside
- Can we give away cannabis outside
- Do they have a projector
- Can we bring and set up our own
- May we invite media to attend
- Max capacity
- Insurance required
- Permits required
- Amenities on site (water, coffee, tea)
- Payment URL or info
Once you have this information together, put a copy into the team folder. Our money person will take care of payment from here and send you a confermation.
IF THE VENUE REQUIRES PERMITS
If the venue requires permits you will be tasked with procuring these documents for our records. Mary will provide card details.
IF YOU DO NOT FIND A GOOD VENUE
If you do not see a goof venue on our preferred venues list, head over to Google and start searching for event rentals in the area. Don't forget that you can always look on Air BnB, or Craigslist.
We can not move onto the next step in the process until we have secured a venue.
